License and Role Requirements

To utilize the Kanban view for opportunities, users must have one of the following licenses: Dynamics 365 Sales Premium, Dynamics 365 Sales Enterprise, or Dynamics 365 Sales Professional. What is a Kanban View?

The Kanban view displays opportunities as cards within lanes, representing the default statuses or stages of the business process flow of opportunities. This visual layout allows for a clear overview of where opportunities lie within the process, facilitating easy management by dragging cards between lanes to change their status or stage. However, it’s noteworthy that the Kanban view is not supported in the mobile app.

Open a Kanban View

The Kanban view becomes accessible upon adding the Kanban control to the Opportunity entity. If this view isn’t visible, consult your system customizer. To access the Kanban view, navigate to Opportunities from the site map, select the More commands icon, and choose Show As > Kanban.

Available Kanban Views for Opportunity Records

Opportunities offer two Kanban views: one based on the business process flow stage and the other on the Opportunity status. Users can toggle between these by selecting from the Kanban type dropdown. The status-based view aligns each swim lane with a default opportunity status (Open, Won, or Lost), whereas the business process flow-based view aligns with stages in the Opportunity sales process business flow.

Know Your Kanban Views

In the Kanban view, each lane’s top displays the total estimated revenue for opportunities within that lane alongside a count of opportunity cards. Notably, if a lane contains more than 10 cards, scrolling down reveals more, updating the count accordingly. Yet, it’s important to remember that aggregating more than 50,000 records in a single lane is unsupported.

Selecting a card opens the opportunity Main form, which also appears upon moving cards across stages, refreshing the Kanban view upon closing. The cards allow for inline editing of three fields directly from the view. Users can filter records using the Search box, and moving cards between lanes is intuitive, with restricted lanes appearing dimed.

Note for Status-Based Kanban View: Moving a card between lanes might trigger the Opportunity status change dialog, including for customized close forms. Moving an opportunity card to the Won or Lost lanes closes the record, indicated by a lock icon on the card.

Business Process Flow-Based View: Cards can only move to adjacent lanes, with non-applicable lanes appearing dimmed. Closed opportunities are also indicated by a lock icon but can still be moved between lanes.

Troubleshooting

If you’re unable to find the described options in your app, consider the following:

  • You might lack the necessary license or role.
  • The feature might not be enabled by your administrator.
  • Your organization could be using a custom app, requiring you to consult your administrator for specific instructions.
